CWSF Participant Guides

Overview

Youth Science Canada provides comprehensive guides specifically designed for each participant group attending the Canada-Wide Science Fair. As a regional coordinator, you play a crucial role in ensuring these valuable resources reach the appropriate individuals in your delegation.

Available Guides

Info
These guides are updated each year prior to CWSF. YSC will email regional coordinators when the updated guides are ready for sharing - the URL remains the same year-to-year.

1. Finalist Guide

The Finalist Guide is the primary resource for students who will be presenting their projects at CWSF. This detailed guide includes:

  • Pre-CWSF preparation requirements
  • ProjectBoard submission guidelines and deadlines
  • What to pack and bring to CWSF
  • Code of conduct and important rules
  • Travel logistics and accommodation details

The Finalist Guide is essential reading for all students representing your region at CWSF and should be distributed immediately after your regional fair selection process is complete.

2. Delegate Guide

The Delegate Guide is designed specifically for adult delegates who will be supervising finalists at CWSF. This comprehensive resource covers:

  • Delegate roles and responsibilities
  • Supervision expectations and guidelines
  • Emergency protocols and procedures
  • Tips for supporting finalists throughout the week

All delegates should thoroughly review this guide, as well as the Finalist Guide to ensure proper understanding of their crucial role at CWSF.

3. Parent/Guardian Guide

The Parent/Guardian Guide provides essential information for the parents and guardians of CWSF finalists who may not be attending the event. This guide includes:

  • What parents can expect during CWSF week
  • Communication options with their child during the event
  • Understanding of supervision and safety protocols
  • Important deadlines and requirements for parents to support
  • Frequently asked questions from a parent perspective
  • Visitor information if parents wish to attend portions of CWSF
  • Post-CWSF follow-up information

This guide helps ease parent concerns while ensuring they understand how to support their child's CWSF experience, even from a distance.

Accessing the Guides

All guides are available in both official languages and are linked from:
  • The YSC Portal in the Support Centre
  • The CWSF website for logged-in users on the Guides page

PDF versions can be downloaded from the YSC Policy Portal (hosted on DocTract) for offline access or printing as needed.
