Making Targeted Schedule Adjustments
For minor changes:

- Make manual adjustments in the exported spreadsheet
- Use this as your working document for the fair day
- Communicate changes to affected judges and projects
Communication Strategies for Last-Minute Changes
Notifying Judges
When judges need to be informed of changes:
- Use exported judge contact information to reach them
- Send clear emails with specific changes highlighted
- For urgent changes, consider text messages or phone calls
- Provide updated schedules in an easy-to-read format
- Have printed copies of final schedules available at check-in
Notifying Students
When students need to be informed of changes:
- Contact students using their registration information
- Copy teachers or parents on communications
- Be clear about how the change affects their participation
- Provide updated instructions if needed
Keep your team informed:
- Create a change log tracking all last-minute adjustments
- Brief committee members at the start of each fair day
- Designate a coordinator to manage ongoing changes
- Use shared documents for real-time updates
Fair Day Management of Changes
Preparing for On-Site Changes
Even with careful planning, changes may occur during the fair:
- Bring a laptop with portal access to the fair
- Have exported data available offline in case of connectivity issues
- Create a simple change form for recording adjustments
- Designate a team member to handle last-minute changes
Emergency Judge Substitutions
If a judge doesn't show up:
- Check your "standby" judges list
- Consider asking committee members with relevant expertise to step in
- Redistribute projects among available judges
- Update projects about any judging delays
Project Issues on Fair Day
For projects with fair day problems:
- For minor issues, allow students to make adjustments without changing portal data
- For major issues (safety concerns, technical failures), document the situation
- If a project must be disqualified, update your records after judging concludes
- Be prepared to adjust judging schedules if projects take longer than expected
Post-Fair Documentation
After managing last-minute changes:
- Update all portal records to reflect the actual fair configuration
- Document significant changes in your fair report
- Note any process improvements for handling changes next year
- Ensure results and awards reflect the final project and judge roster
Best Practices for Change Management
- Establish cutoff deadlines: Set clear deadlines after which only emergency changes will be accepted
- Create change request processes: Develop a standard form or email template for change requests
- Prepare for common scenarios: Have plans in place for typical last-minute issues
- Build in buffer time: Schedule extra time in your fair timeline to accommodate changes
- Cross-train committee members: Ensure multiple people know how to update the portal
- Document everything: Keep records of all changes for future reference
