CWSF Delegate Selection Guidelines

Overview 

Youth Science Canada recognizes the vital role delegates play in the success of the Canada-Wide Science Fair and appreciates their dedication in volunteering their time and effort to support this life-changing experience for finalists. As the program continues to evolve to meet the standards of a world-class event, regions must understand and consider YSC's expectations when selecting individuals for this important role. 

Delegate expectations

Delegates play a critical supervisory and support role at CWSF and are expected to: 
  1. Bring and consistently carry a mobile phone, and remain reachable throughout the duration of CWSF 
  2. Bring a personal credit card to address unexpected travel-related requirements or emergencies (e.g., hotel stays and incidentals due to travel delays), even if no charges are ultimately incurred 
  3. Work effectively and respectfully with individuals of all ages, backgrounds, and abilities 
  4. Establish and manage a clear communication channel with their delegation (e.g., WhatsApp group) to ensure timely updates and coordination 
  5. Ideally, have prior experience supervising or chaperoning youth 
  6. Be confident in providing appropriate support to finalists throughout the week, including: 
    1. Responding to minor medical needs (delegates are not expected to provide first aid, but must support affected finalist(s) and promptly seek assistance from onsite first aid personnel when needed) 
    2. Supporting finalists experiencing homesickness 
    3. Assisting with preparation for judging 
    4. Helping finalists navigate the competitive aspects of the program while reinforcing that earning a place at the CWSF is itself a significant achievement 
    5. Encouraging inclusive and welcoming interactions among youth from diverse backgrounds and experiences 
  7. Have experience travelling within Canada and be able to calmly and confidently navigate airports, security procedures, and potential delays, while guiding finalists, many of whom may be travelling independently for the first time 
  8. Demonstrate experience managing interpersonal conflict and feel confident advocating for their finalists and helping resolve issues that may arise among finalists and/or delegates 
  9. Be prepared to contact parents or guardians if necessary, and keep Team UV and their region informed of any significant concerns 
  10. Adhere fully to the YSC Code of Conduct, which applies to all event participants 

YSC recognizes that identifying a suitable delegate can sometimes be challenging. This guidance is intended to support regions in selecting a well-prepared individual who can provide strong, responsible leadership and support for their finalists.
